How public newsletter links, photographs, and staff access affect safeguarding.

Newsletters may include pupils’ names, photographs, and details of school activities. The school decides what it can publish under its own safeguarding and consent policies.
Ocarino, a service provided by Red Robot Studios Ltd, gives school staff control over what is published and when, but it does not replace the school’s safeguarding decisions or make a public link private.
Public Newsletter Links
Anyone with the link can open a published issue without signing in. Ocarino asks search engines not to list issue pages and does not publish a directory of schools or newsletters, which makes an issue harder to find but does not make it private.
A recipient can forward the link, just as they can forward a newsletter email or PDF, and anyone who receives it can open the issue. Do not publish information meant only for specific people.
Photographs and Consent
The school’s safeguarding policy and photo consents determine which photographs it may publish. Red Robot Studios does not make that decision.
If consent changes, remove the photograph and publish the change, and anyone who opens the link afterwards will see the updated issue. Publishing the change cannot remove copies, downloads, or screenshots already saved to personal devices.
Correcting or Removing Information
To correct a date, name, photograph, or other detail, edit the issue and publish the change. The existing link will show the updated issue, and reviewed dates in the newsletter calendar will update. To remove the whole issue from public view, unpublish it.
Staff Access
Only school staff who are signed in to Ocarino can create or publish an issue, and sign-in links are sent to each staff member’s email address. When someone no longer needs access, email the address below to have it removed.
Data Protection
The school decides what to publish, and Red Robot Studios processes newsletter content through Ocarino on the school’s behalf.
