Privacy and Safety

Ocarino is a newsletter service provided by Red Robot Studios Ltd. You can read a newsletter without creating an account or giving your name or email address. Ocarino does not sell personal data, show advertising, use tracking cookies, or build a profile of what families read.

Anyone with the link can open a published issue without signing in. Ocarino asks search engines not to list these pages, asks the services that collect pages to train AI models not to collect them, and does not publish a directory of schools or newsletters. This makes an issue harder to find but does not make the link private.

A link can be forwarded, just like a newsletter email or PDF. Your school can remove an issue from public view, but removing it cannot remove screenshots, downloads, or copies already saved to personal devices.

You can read an issue in your browser or with tools you already use — a calendar app subscribed to the school’s dates, or an assistant that opens the link for you. These tools work for you, not for the school or Ocarino, and they see only what you could already open yourself.

Your school chooses what appears in each issue. This may include pupils’ names, photographs, and details of school activities. The school’s privacy, safeguarding, and photo consent policies still apply.

Ocarino stores and displays this information for the school but does not decide which names or photographs may be published.

If you choose Get Notified, Ocarino stores a browser subscription so it can tell you when your school publishes a new issue. The subscription does not include your name or email address, and turning notifications off deletes it. Depending on your browser and device, the notification may be delivered by Apple, Google, Microsoft, Mozilla, or Samsung.

Newsletter information and images are stored by Supabase in Ireland, and Ocarino runs on Google Cloud in Belgium. Information is encrypted while it is sent and while it is stored.

Ocarino uses newsletter information only to provide the published page, its link preview, calendar dates, and optional notifications, and does not use it for advertising or profiling.

A school can turn on Smart Assist to help staff review dates. When it is on, Ocarino sends the newsletter name and short excerpts of text to Google’s paid Gemini service, which suggests details such as an activity name, time, or location for school staff to check. Images and the rest of the newsletter are not sent.

Google does not use prompts or responses from its paid service to train its models or improve its products. The text may be processed outside the UK and EU under Google’s data protection safeguards. When Smart Assist is off, Ocarino sends no newsletter content to Gemini.

Contact your school if a name, photograph, date, or other detail is wrong or should be removed. The school controls what it publishes and can correct an issue or remove it from public view, and Red Robot Studios helps the school access, correct, or delete information held in Ocarino.
